Map every external action
List each node that creates, updates, deletes, or sends anything outside the workflow. Check its account, destination, and permissions. Use a test environment or approved test records wherever possible. A successful demo should not create unreviewed actions in a production account.
Write down the approval boundary for generated content. Drafting a reply and sending a reply are separate actions with different consequences. Keep review in the process until the client has agreed to any automatic sending rules.
THE WORKING SEQUENCE
- 01Define the input
- 02Test the exceptions
- 03Document the handoff
Test incomplete and duplicate inputs
Try missing required values, unexpected formats, repeated triggers, and records that already exist. Check how the workflow distinguishes an update from a new record. Confirm that a retry will not create an unintended duplicate action.
For a reporting workflow, include an empty period and a missing source. The system should explain unavailable data rather than invent a summary or treat missing observations as zero performance.
Make failure visible
Decide who receives an error notification and what information they need to respond. Include the workflow name, run reference, and a useful description without exposing confidential payloads or credentials. Check the notification path itself.
Agree on retry behavior and a stopping point. Repeated retries can multiply requests and unintended writes. The right response may be to pause and request a human decision rather than continue through an uncertain state.
Document recovery and ownership
Show the owner how to pause the workflow and inspect a run. Record the tested examples, known limitations, and required credentials. Make it clear which changes are safe for the client to make and which need another test.
Only launch after the agreed acceptance checks pass. Keep a record of the approved configuration and handoff date. If monitoring is included in your service, define the review cadence and how new problems become tracked work.
