Treat the import as the starting point
n8n supports importing and exporting workflows as JSON. That makes a blueprint portable, but importing a file does not establish that the workflow fits your client’s data, permissions, or processes. Inspect every node before turning it on.
Start in a test environment. Identify the trigger, each external service, and every action that writes data or sends a message. List the accounts, scopes, identifiers, and field mappings required for the client’s setup.
THE WORKING SEQUENCE
- 01Define the input
- 02Test the exceptions
- 03Document the handoff
Configure credentials with clear ownership
Use client-approved accounts and store credentials through the automation platform’s credential system. Avoid embedding secrets in node fields, sample payloads, screenshots, or documentation. Keep access limited to the permissions the workflow actually needs.
Review exported JSON before sharing it. n8n warns that exports can contain credential names and IDs, and HTTP Request nodes imported from cURL may include authentication headers. Sanitize files used in handoffs or demos.
Test more than the happy path
Run examples with missing fields, malformed email addresses, repeated submissions, empty datasets, and unexpected categories. Decide how duplicates are identified before writing to a CRM. Check what happens when an upstream service is unavailable or returns an error.
Keep human review for generated messages until the client has approved the content and escalation rules. A workflow that drafts a reply should not silently become one that sends it. Agree which actions require approval and make those boundaries visible.
Hand over an operating system
Document the workflow owner, required accounts, test cases, error notifications, and how to pause the automation. Explain how to rotate credentials and where run history can be reviewed. Include the conditions that should trigger an escalation.
Separate initial implementation from ongoing maintenance in the client agreement. API changes, new fields, and additional workflows create new work. A clean handoff makes that work explicit and keeps the client from depending on undocumented knowledge.
